How to Staff a Convention Week Without Peak Payroll

Convention staffing is a calendar problem, not a hiring problem. A 500-room block and a 1,200-person banquet turn arrive in 48 hours. Tuesday after load-out needs a skeleton crew. Carry the peak on payroll and you fund empty stations. Call an agency and you fund markup plus a new face who has never walked your pre-function hall.

Convention hotels that stop scrambling keep captains on staff and flex the rest from a rated bench.

Name the functions, not a headcount

Post the work the way the group week runs: banquet servers, bartenders, registration, setup, breakdown, housekeeping. “Need 40 people” fills slower than a station list. Workers show up knowing which room they own.

Start on convention staffing. If the meal is the product, pair it with hotel banquet staffing. Arena and expo volume still lives on stadium staffing.

Post early enough for a real bench

Most Croux convention shifts fill in 2-3 days. For a citywide or 15 or more workers, post 5-7 days out. Same-day fill happens in live markets. It should not be the plan for opening session.

Ask for fill and no-show rates, not a pulse

Price the wage in the open

You set the hourly rate. Croux adds a transparent fee on filled shifts. That is different from an agency bill rate that hides markup inside a blended number. Workers are paid within 24 hours.

Rebook the people who already know both buildings

The second conference is faster when the same servers already know the ballroom and the same greeters already know the exhibit-hall doors. Favorite the crew that finishes clean.
